Job DescriptionHospice Operations, Outreach & Volunteer Coordinator Location: Oradell, New Jersey Schedule: Full-time, Monday–Friday, 9:00 a.m.–5:00 p.m. Work Setting: On-site with limited local field outreach Reports To: Executive Director and Director of Nursing Position Summary LifeSource Hospice is seeking an organized, compassionate, and dependable Hospice Operations, Outreach & Volunteer Coordinator to support the daily administrative and operational needs of our Oradell office. This position serves as an important link among patients and families, healthcare facilities, clinical staff, volunteers, vendors, referral partners, and hospice leadership. Responsibilities include answering phones, maintaining records, assisting with insurance authorizations, coordinating nursing assignments, ordering durable medical equipment, supporting employee and volunteer onboarding, recruiting volunteers, and assisting the Executive Director and Director of Nursing with daily office operations. The coordinator will also conduct local community outreach approximately once per week, including visits to physician offices, assisted living communities, schools, community organizations, and other potential referral or volunteer partners. Essential ResponsibilitiesOffice and Administrative Support Answer incoming telephone calls professionally and direct inquiries to the appropriate team member. Communicate compassionately and professionally with patients, family members, facilities, volunteers, referral sources, healthcare providers, and vendors. Scan, upload, organize, and maintain patient, employee, volunteer, and operational documents. Assist with medical record management and ensure documents are filed accurately and promptly. Prepare correspondence, forms, reports, meeting materials, and other office documents. Monitor office supplies and help maintain an organized and professional office environment. Provide administrative support to the Executive Director and Director of Nursing. Maintain confidentiality and comply with HIPAA and organizational privacy requirements. Perform other office and operational duties as assigned. Clinical Operations Support Assist with coordinating and communicating nursing assignments, patient visits, and schedule changes. Maintain current staff schedules and promptly communicate changes to the appropriate clinical team members. Help coordinate patient-related requests among families, facilities, nurses, providers, and hospice leadership. Order and track durable medical equipment, including deliveries, exchanges, repairs, and pickups. Follow up with DME vendors to help resolve service or delivery concerns. Assist with obtaining insurance authorizations and verifying required documentation. Track outstanding authorizations, orders, forms, and signatures and follow up as needed. Support admission and discharge processes as assigned. Escalate urgent patient or family concerns to the appropriate nurse or clinical leader. Refer clinical questions, decisions, and requests for medical advice to licensed clinical personnel. Human Resources and Employee Onboarding Support Maintain accurate, organized, and confidential employee personnel files. Assist with new-hire onboarding, orientation scheduling, identification badges, equipment, system access, and required paperwork. Track employee licenses, certifications, health records, background checks, education, and other employment requirements. Notify leadership of missing or expiring employee documentation. Assist with interview scheduling and other recruitment-related administrative tasks as requested. Help ensure new employees receive the information, equipment, and access needed to begin their roles. Volunteer Recruitment and Coordination Help identify and recruit hospice volunteers through schools, colleges, community organizations, faith-based organizations, online postings, and community events. Respond to volunteer inquiries and provide information about available volunteer opportunities. Assist with screening, interviewing, onboarding, orienting, and training new volunteers. Coordinate required background checks, health documentation, references, and other onboarding requirements. Maintain complete, accurate, and confidential volunteer personnel files. Track volunteer availability, assignments, activities, service hours, and required education. Help match volunteers with appropriate patient, family, office, or community needs under the direction of hospice leadership. Maintain regular communication with active volunteers and assist with scheduling and assignment changes. Support volunteer recognition, retention, and appreciation activities. Assist with volunteer reports and documentation needed to support hospice regulatory and organizational requirements. Immediately communicate volunteer, patient, family, or facility concerns to the appropriate clinical or administrative leader. Community Outreach Conduct local community outreach approximately once per week or as operational needs require. Visit physician offices, assisted living communities, skilled nursing facilities, schools, colleges, and community organizations. Provide approved hospice education and information about hospice services and volunteer opportunities. Deliver approved educational, referral, and volunteer recruitment materials. Develop and maintain positive professional relationships with referral and community partners. Communicate community questions, needs, and potential referral or volunteer opportunities to hospice leadership. Document outreach activities and required follow-up. Represent LifeSource Hospice professionally and in accordance with Medicare requirements and organizational policies. Qualifications High school diploma or equivalent required; associate or bachelor’s degree preferred. At least two years of administrative, scheduling, healthcare, hospice, home health, medical office, volunteer coordination, or related experience preferred. Experience with insurance authorizations, DME coordination, medical records, healthcare scheduling, employee onboarding, or volunteer recruitment strongly preferred. Strong organizational skills and the ability to manage multiple priorities and follow-up items. Professional, compassionate, and effective communication skills. Comfortable communicating with patients, families, volunteers, healthcare professionals, facility staff, and community partners. Proficiency with Microsoft Office, email, electronic medical records, and general office technology. Ability to handle confidential and sensitive information appropriately. Knowledge of hospice services and terminology preferred; training will be provided. Must be a dependable team player who works collaboratively with clinical, administrative, volunteer, and leadership staff. Must have a valid driver’s license, current automobile insurance, and a reliable personal vehicle for local outreach and other work-related travel. Physical and Scheduling Requirements Full-time, on-site position in the Oradell office, Monday through Friday from 9:00 a.m. to 5:00 p.m. Local field outreach is generally expected approximately once per week. Must be able to lift and carry up to 25 pounds, including office supplies, educational materials, and equipment. Must be able to sit, stand, walk, use a computer, communicate by telephone, and travel locally as required. Occasional schedule flexibility may be required based on operational needs.
