The Institutional Relations Officer is a crucial frontline fundraising role for the Brennan Center. You will join a high-performing Development team that has raised $50-60 million in the last several fiscal years. The team is organized around three principal revenue sources: institutional donors, major donors (individuals and family foundations), and small and midlevel donors. The team also organizes an annual fundraising gala. The Officer will be responsible for securing major grants from institutional foundations and philanthropies both existing and new donors. Fundraising Productivity Support • Support the Chief Development Officer's portfolio of major and principal donor relationships through scheduling, briefing preparation, donor tracking, stewardship coordination, and meeting follow-up., • Coordinate donor engagement activities, including meetings, cultivation events, stewardship opportunities, and special donor communications., • Assist with fundraising reporting, portfolio reviews, prospect tracking, and pipeline management activities., • Partner with Development Operations to maintain accurate donor records, CRM updates, action tracking, and fundraising reports., • Support acknowledgment, stewardship, and donor communication processes to ensure timely and consistent donor engagement., • Provide targeted administrative support that increases fundraiser productivity and allows frontline fundraisers to focus on donor-facing activities. Department Operations • Support the Vice President, Development with scheduling, expense reporting, administrative coordination, and department-wide initiatives., • Manage departmental administrative processes, including invoice processing, budget tracking support, purchasing requests, and financial documentation., • Coordinate onboarding activities for Development staff, including scheduling, resources, and introductions., • Maintain departmental records, files, shared resources, and administrative systems., • Facilitate communication and coordination between Development and internal departments including Finance, Human Resources, Marketing & Communications, Information Technology, and Executive Office teams., • Support logistics for department meetings, retreats, trainings, and staff engagement activities. Strategic Projects and Special Initiatives • Support select Development initiatives and cross-functional projects by coordinating meetings, maintaining timelines, tracking deliverables, and documenting next steps., • Assist with process improvement efforts designed to increase departmental efficiency and effectiveness., • Perform other related duties as assigned in alignment with departmental priorities and available capacity. Qualifications Required: • Minimum of 5 years of executive assistant, administrative, office management, or related experience supporting senior leaders., • Exceptional organizational, project management, and time-management skills., • Demonstrated ability to manage multiple priorities in a fast-paced environment., • Strong written and verbal communication skills., • High degree of professionalism, confidentiality, discretion, and judgment., • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams., • Strong attention to detail and commitment to accuracy. Job Summary The Development Officer is a key member of the All Stars Project (ASP) of New York development team, which raises $3.5 million annually for our New York operation. This position combines frontline fundraising, donor engagement, event management, and development operations to strengthen and grow the organization's philanthropic partnerships while developing as a fundraiser and leader. Working closely with the Assistant Director of Development, the Development Officer will help cultivate and steward individual and corporate relationships through strategic communications, donor meetings, fundraising campaigns, reports, and special events. The role manages a portfolio to develop meaningful relationships that inspire increased engagement and charitable investment. It also requires active collaboration across ASP's national Development team and broader organization, contributing to shared fundraising goals, continuous learning, and a culture of growth, feedback, and partnership. ASP of NY is in a period of growth, deepening our work with thousands of youth across the five boroughs and reopening the 31,000 square foot youth development center on 42nd Street. The Development Officer will support and collaborate with a growing team (locally and nationally) as we deepen fundraising and engagement activities for over 1,000 individual and institutional supporters. This is a hybrid role and typically requires three days of in-person attendance at the ASP New York regional office, with flexibility to work occasional evenings for events and activities. Key Responsibilities Donor Relationship Management • Manage and grow a portfolio of approximately 75-100 individual donors and prospects, primarily giving between $50–$2,500, through personalized cultivation, frontline solicitation, stewardship, and ongoing engagement., • Develop and implement individualized engagement strategies to increase donor retention, giving levels, and long-term philanthropic partnership that reflect ASP's relationship-centered approach to fundraising., • Prepare donor briefing materials in advance of meetings, including giving history, engagement notes, and meeting summaries. Fundraising & Annual Campaign • Support the implementation of ASP New York's annual strategy in partnership with the Assistant Director of Development and National Annual Campaign team to achieve $3.5 million in fundraising., • Coordinate donor, foundation, corporate partner, trustee, and prospect meetings, including scheduling, follow-up, and next-step strategies., • Produce donor-centered communications, including email newsletters, stewardship messages, fundraising appeals, impact stories, campaign materials, and special announcements., • Research prospective corporate supporters to identify new funding opportunities. Corporate Partnerships • Develop corporate proposals and engagement reports and support corporate partnerships including workshops and internship relationships. Development Operations • Maintain accurate donor records and gift data in Raiser's Edge NXT and other development systems, including documentation of donor interactions., • Coordinate acknowledgment letters, donor recognition, AirTable views, and electronic filing systems., • Manage pledge tracking and collections, ensuring timely follow-up and accurate reporting., • Prepare fundraising reports, donor lists, and other materials to support development strategy and decision-making., • Provide general administrative support to the Development team, including scheduling and coordination of meetings, and participate in projects with the national development team. Qualifications • Two or more years of professional experience in fundraising, sales, business development, client relations, or other relationship-centered role.
