Commercial Litigation Legal Assistant Location: Miami, FL (Hybrid, minimum 2 days per week in office) About the Opportunity A well-established commercial litigation law firm is seeking an experienced Legal Assistant to support a team of attorneys handling complex civil and commercial litigation matters. This is an excellent opportunity for a detail-oriented, deadline-driven legal professional who thrives in a fast-paced litigation environment and takes pride in precision, discretion, and reliability. The role offers a hybrid schedule, with a minimum of two days per week required in the office. Position Summary The Legal Assistant will provide comprehensive administrative and litigation support to at least two attorneys, managing competing deadlines and priorities across multiple active matters. The ideal candidate has strong, hands-on experience with state and federal court e-filing procedures and a proven ability to manage a demanding litigation calendar with minimal supervision. Key Responsibilities • Prepare, format, proofread, and finalize legal documents including pleadings, motions, discovery requests and responses, correspondence, and other litigation-related filings, • Handle e-filing in both state and federal courts, including Florida state courts and U.S. District Courts, ensuring strict compliance with local rules, filing procedures, and deadlines, • Calendar and track court deadlines, statutes of limitations, hearing dates, and discovery deadlines using docketing software, proactively flagging upcoming due dates to attorneys, • Coordinate and schedule depositions, hearings, mediations, and client meetings, including logistics for court reporters, videographers, and outside counsel, • Manage and organize case files, both electronic and physical, ensuring documents are properly indexed and readily accessible, • Communicate directly and professionally with clients, opposing counsel, court personnel, and vendors, • Assist with trial preparation, including compiling exhibits, trial binders, and coordinating logistics for hearings and trials, • Process attorney expense reports, time entry support, and billing-related administrative tasks as needed, • Manage multiple attorneys' calendars and workloads simultaneously, prioritizing competing demands and reallocating time effectively as deadlines shift, • Handle incoming and outgoing correspondence, including drafting routine letters and emails on behalf of supervising attorneys, • Maintain strict confidentiality regarding all client and case-related matters, • Provide backup support to other legal assistants and administrative staff as needed Required Qualifications • Minimum 5 years of experience as a legal assistant or litigation assistant in a commercial litigation practice, • Strong, demonstrated experience with state and federal e-filing systems (Florida state court e-filing portal and CM/ECF for federal court filings), • Solid understanding of Florida Rules of Civil Procedure and local federal court rules, • Proven ability to support and manage the workload of two or more attorneys concurrently, • Excellent calendaring and deadline management skills, with experience using docketing or case management software, • Strong written and verbal communication skills, with meticulous attention to detail and accuracy, • High proficiency in Microsoft Office Suite (Word, Outlook, Excel) and document management systems, • Ability to work independently, prioritize effectively, and manage a high-volume, fast-paced workload, • Professional demeanor with strong client service and interpersonal skills, • Ability to work a hybrid schedule with a minimum of two days per week in the office, and additional in-office days as case needs require Preferred Qualifications • Prior experience in a mid-size or large litigation firm environment, • Familiarity with e-discovery platforms and litigation support software, • Notary public certification, • Experience handling trial preparation and trial support What the Firm Offers • Competitive compensation commensurate with experience, • Comprehensive benefits package (health, dental, vision), • 401(k) with firm contribution, • Paid time off and firm holidays, • Hybrid work flexibility, • Collaborative, professional team culture with opportunities for growth
